CALLING All FLORIDA MEMBERS.... Let's get this meet setup...

The people have spoken, let's get this event rolling.. I have sent out a message to all group leaders and am awaiting a response, in the meantime this event will take plenty of planning so we are going to need input from everyone in order for it to succeed.. If you have time or expierience setting something like this up please chime in.. We are on Camaro5 so I think it should be an All generation Camaro event, also open to other Chevy models..
Your thoughts? This is the brainstorming thread do go for it...

I have helped put events like this together; Regionals in Orlando and Nationals in places like Savannah, GA Huntsville, AL

Anywhere from 25 -250 vehicles and 500-600 people. Get shirts made, lanyards, items donated for raffles etc. We would usually find a charity in that area and donate some of the proceeds to that group. Helps give the club a positive spin in the press/media.

I'll be glad to offer any assistance that may be needed.......

Excellent.. Let's throw ideas out Untill something sticks.. I was on maps and found the Orange County Convention center, there is a Hilton right next door to it.. I am going to call and find out information on it's availability.. Any other suggestions?

Could help out our club puts on the annual Ecklers Winter Nationals each year 300+ cars (registration, tech check, judging, ect....)

Some ideas that Ive done with coordinating events:

- Track Rental
- Show n Shine
- Awards (best of show, best paint, best mod, etc)
- Raffle
- Cruise/Photo op? (find a spot to drive to that can handle a large amount of cars and be able to hang out)

Vendor participation. Allow vendors to come, set up tents, show off product, have discounted prices for the event, etc. This bleeds into sponsors. If vendors will donate items to give out for the raffle or include something with registration (detail polish, applicator pad, etc) or even put up money for racing for each class, that always seems to attract people.


Orange County Convention center would be perfect. Central part of the state, and large enough to accomodate a huge group of people and cars. Plus, being on I-Drive, there is plenty of food, hotels, and attractions (for the family) that is within walking distance basically.

Central FL Fairgrounds would also be another idea for event location.

The only downfall is that its near CrimeHills...I mean PineHills, which isnt the greatest area to find Orlando's finest citizens.

Excellent.. Any Venues you can think of? I just got off the Phone with the Orange County Convention Center. They will be contacting me today or tomorrow on availability and pricing.. I requested an outdoor area where we could fit over 300 cars and 500+ people..
I would imagine we could get Sponsors, and Vendors at the event and I agree it should have something to do with raising money for a Charity.

I am on board with this. Only an opinion here but, the main goal from what i am getting is to put on a huge gathering. Personally i would nix the racing and focus on a meet and show. This would attract alot of show cars and honestly draw many more v6 owners out. Not to mention it will be alot of work to put this on and racing will add a ton more work. Im down with whatever but pony wars is right around the corner for the racers.

Another idea for the venue is something that the Eckler’s Winter nationals as well as the Fbody Gathering do is they hold the event at a hotel (large enough to hold everyone) last year was the 1st year we held the show at Westgate Lakes resort here in Orlando it was a great place the property provided security they did not allow anyone into the show area (at night) without a show badge this location is right off I-4 on the west side International Drive they gave us great rates on the hotel rooms plus they provide transportation to the 2 area outlet malls so this is great for the wives so they can go off and do the shopping thing while we enjoy the show.

My suggestion is
March 9-11, 2012
location Westgate Lakes Resort, Orlando FL

Thursday- Early arrival get together (evening)
Friday- registration 10am-5pm
Friday-Get together/Party hotel parking lot
Saturday- Car Show 9am-4pm
Saturday- Get together parking lot 5pm to when ever
Sunday-Breakfast/ Awards 9am-10am


Just an idea dates could be changed figured it's not to hot plus it's far enough away from Christimas to let people recover.

Even if I were running a modified SS I probably wouldn't run the track. (yeah, right)
What I've done with event before (multi-day events) is offer a couple different options each day.
Day One: meet and greet, register, and have a couple dinner venue options (at leisure)
Day Two: Modding, raffle, road trip to local sights, maybe tour a local attraction (space center ect ect)
Day Three: Track day, have a mobile wash company come in, show & shine, local cruise, raffle, meet with local charity that we were raising money/food for ect.
Day Four: etc.etc........

So basically you have a variety of things on each day, so that the attandee's will have something to choose from that would best suit their desires. So the track folks can go do their thing (and some may just go to watch) yet there is something else going on that day for other to do if they choose.

That's why lots of advanced planning and multiple co-ordinators are required for these type of events. I'd suggest getting a few ideas and start some threads to guage this also. (and for opening up to other sites etc, we need someone to do the same there)

Indicating participation

*sign up thread
*track thread
*show and shine thread
*raffle item list thread
*main dinner thread
*hotel thread
*local cruise thread
*adult night out thread (bars etc)
*threads to guage interest in an idea so that if enough participants want so see it, we can make it happen (or at least try)
Golf-hot air balloon- I-Drive, Mini-golf, disney/sea world, I-ride trolly, Ripleys, Helicopter tours, go carts, in Orlando the list is huge for offering multiple daily things to get the largest participation possible.

Sounds like this is going to blast off soon... I really like the idea of the full weekend should be a nice getaway for the whole family...

Here is an overview of the Westgate lakes resort area the area marked in red outline is what we use for the Winter Nationals (The orange box could be registration tent, in the top circle could be vendor alley.

Some more info

-Westgate lakes has a small convenient store on property where people can buy food, beef, ect…
-Westgate Lakes has a big food grille for the Winter Nationals they offered 4-sale Burgers, Hotdogs, Italian Sausage, desserts, ect…. Prices were pretty good too.
-Several heated pools on the property
-Shuttles to run from the different buildings to the show venue

Other things for the Central Florida
-Friday night cruise in at Old Town (approx 15 minutes from location)
-Bithlo Track for those who want to go to the track approx. 35 minutes East of venue
-Plenty of restaurants in the area to handle all of us

Again just some more ideas.

We've been stuck... Now were Officially on our way.. I like the Resort Idea because we could all stay in the same place so Family members can take off while we talk cars...
I havent heard back from the Orange County Convention center just yet so I am guessing they will call me tomorrow...

How does the resort handle this function? Parking, Room rates, Accommodations??

I know for the Winter Nationals the parking area thatch use for the show is blocked off for us and only us they make the money filling up the rooms and selling food so for them its a win win.

If we think this is the way we would like to go I can get with them and see what kind of deal we can get on rooms and stuff.

I'm available to help out. No racing for me but like the meet and greet idea. Show & shine is good but I'm not much for cleaning

I love the idea of staying at one location. That way I can have my fun with adult beverages and everyone stays safe! Party with a car show...sounds familiar...

I am a representative from the Jacksonville Camaro Club here on C5. I am here to help as much as possible. Never setup an "car event" but have setup many large functions. I think Orlando will be a nice central location for everyone. The resort idea looks promising. Something to look at for a track facility is if we can have Auto X with 1/4 mile. I have several up here looking for that and or a road course. If we cannot get enough interest with just camaros, another option to look at would be all GM. Jacksonville has several members that drive GTOs, G8s, Trans Ams ect.

http://daytonabeachcarshows.com/turkey-run/ turkey run is held at daytona racetrack in november every year..largest car meet in the southeast...just thought i wopuld throw it out there..over 6000 cars there for show and for sale..yes that is 6000.. now i know you wee lookin for march, daytona also has the spring show in march...not as big but , alreay an event with 25 years in the making

I'm liking 01PewterZ28's idea with the westgate lakes resort.

For the person looking for a track with a 1/4 mile and auto x there are none in Orlando. Orlando only has CFRC which is 1/8 mile and Auto x and Orlando Speed World which is 1/4 mile and some circle race track or something like that.

Agreed, I also like Pewterz idea for a location. While racing is always fun a meet like this would be a great chance to meet other owners and just relax.
