How do you log your car parts/service history?
How do you log your car part purchases and service history?
I personally do all my part installations and service my Camaro. I keep an Excel doc with the date something was done, the mileage at the time of that item, and what occured. Any papers are kept in a binder. |

I use the same software I use for our trucking company's maintenance records, Fleet Maintenance Pro by IMS. I've got it setup with different catagories to sort between Company Vehicles, Personal Vehicles, Lawn equipment, and Home (for house maintenance as well as logging appliance replacement/repairs). Everything I do to any of those, whether its replace a turn signal bulb or overhaul a transmission gets logged. Every fuel/gas purchase, and ongoing miles per gallon average for every vehicle. It also tracks all inventory, from truck parts, filters, tires, bulk oil, to car detailing products and microfiber towels. Very customizable to build maintenance schedules and inventory lists for virtually anything, including setting up alerts to remind you when things are due.
The software is expensive, figure I might as well use it everywhere and get my money's worth

I have a build book. 1-Interior 2-Exterior 3-Engine 4-Trunk 5-Underneath. Each part listed with whom I bought it from - the cost -part number. Who painted parts if needed and cost. Pics taken of each part taken out & part put back in it's place. All original parts boxed up and marked on out side what the part is. Then shelved in alphabet order. Build book is over 200 pages.

I have two binders to log maintenance and drive time. Originally, I used basic college ruled paper but that proved to be too disorganized and fragile in a shop area. A while back I made log sheets in PageMaker/InDesign and print them on a laser printer whenever I need more. Any warranty work or parts receipts gets stapled on the back. Anything that is printed on thermal paper gets scanned and printed as well.

I had one non-dealer state inspection and oil change done last year, so I cut my name and address off the form and folded it into the owner's manual so that after I trade it in, the new owners can see it was done at proper intervals.

A basic log with date, mileage, listing of services performed, in an Excel spreadsheet.
The dates/mileage are backed by the receipts for the materials/services which are stored in a paper file. For oil changes, I also photo-document the odometer and vin plate with the receipts held up next to them for the oil changes. |

Free Fleet VIP
I use FleetVIP. You can enter your maintenance schedule as well as all of your favorite service providers. The entire thing works pretty well, the only downside is that you can not attach copies of the invoices.
