Maybe do the participant drawing a bit before the submission deadline? I sure would hate for someone (me) to spend a few hours or even an entire day on this project only to find out I'm one of the few guys that didn't get picked.
Just a time saving suggestion.

I like the thought of the calendar but yeah I agree. I myself am not going to spends hrs getting my car prepped plus photos and then addressing the other details without knowing if my junk is even going to be in the calendar in the end. Good luck to those that are participating.

I spend well over an hour every night fielding emails, logging people's information and payments on a spreadsheet, reminding some folks that I need more information, stuff like that. To be sure, much like when we detail a car, this is a labor of love and you will get no complaint from me on that. And having done projects like this in the past for my business, I can assure you that I will be spending countless hours, putting the actual calendar together. So yeah, if a few hours detailing your car seems daunting, I get it.
